Important Information for Members

These policies help us serve you efficiently and protect your sensitive information. Please review them periodically.

Email Response Times

Non-emergency emails are handled promptly by our admin team. Emergency matters are escalated to supervisory or executive staff.

Expected response time: 24–48 hours

Phone Call Policy

All calls must be scheduled in advance. Calls are limited to 15–20 minutes. Calls exceeding 20 minutes require a prepaid fee.

Overage fee: $50 for calls over 20 minutes
Engagement clients: save non-emergency questions for your monthly or quarterly 45-minute advisory call.

Tax Return Copies

Current clients can access returns through the secure client portal. Former clients may pick up copies at our office.

Under 30 pages: No charge
Over 30 pages: $20 fee
We never send tax returns or sensitive documents via email. All documents are delivered through your portal.

Financial Statement Requests

Formal compilations are prepared on a scheduled basis. On-demand requests are no longer accommodated to ensure quality and accuracy.

Delivery timeline: 7–14 days
Current bookkeeping clients: Starting at $400 (50% retainer)
Non-bookkeeping clients: Starting at $600

Audits & Reviews

Full audits and reviews are available for non-bookkeeping clients with a structured timeline and retainer requirement.

Completion window: 6–8 weeks
Retainer: 50% of total fee required upfront
Audits and Reviews are not available for current bookkeeping clients.

Payment Policy

Payments are processed via QuickBooks. Auto Pay / ACH enrollment is required for all ongoing engagements.

Non-ACH fee: $15/month (non-negotiable)
Late charges: $30 every 30 days up to 90 days
All invoices must be paid before the next period's work can proceed unless other arrangements are made in advance.

How do I upload documents securely?

Log into your Client Portal and use the document upload feature. All files are transmitted over encrypted connections and stored in our HIPAA-compliant document management system. Never email sensitive documents — the portal is the only secure channel.

How do I access my completed tax returns?

All completed returns are available in your Client Portal under your documents section. You can download and save them at any time. We do not send returns via email for security reasons.

What if I need to talk to someone urgently?

Emergency matters are escalated directly to supervisory or executive staff. For non-emergencies, email [email protected] and expect a response within 24–48 hours. All phone calls must be scheduled in advance.

Can I add services to my current engagement?

Yes. If you need additional services like payroll, financial statements, or an upgrade to a higher package tier, reach out to your advisor or email us. We'll scope the additional work, provide a clear proposal, and issue a separate engagement letter if needed.

What happens if my invoice is past due?

A late charge of $30 is applied every 30 days on overdue invoices, up to 90 days. All invoices must be paid before the next period's work can proceed. If you need to make alternative arrangements, please contact us in advance.

How do I cancel or change my engagement?

Either party may terminate the engagement with 30 days' written notice. You will be responsible for all fees incurred up to the termination date. Upon termination, we'll invoice for any unbilled fees and expenses.
